Reminder that the sign-ups for Monday close at 6pm on Sunday. And the sign-ups for Tuesday close at 6pm on Monday.
Parents check your email after school on November 19th for the link to sign up for the conferences. It will be from Ellie Gilbert or Communications via Constant Contact. In-person conferences with teachers and counselors (both academic and college) are available on 11/25/24. Online conferences with teachers and counselors are available on 11/26/24. Note: Examples below may reflect different days.
Step 1: Select which date you wish to schedule. Note: The Teacher On Campus and Teacher Online have teachers that may be missing from the other sign-ups. So, if you can't locate a teacher in one of the options try the other. |

Step 2: Select a staff member from the “Select Staff” drop-down menu. DO NOT leave this setting on Anyone as it will pick a random teacher (or counselor) that may not have your student in their class in which case the meeting may be canceled by the teacher. |

Step 3: Select an available time slot. |

Step 4: Add your name, email (double check your email is accurate to ensure you receive confirmations, links, updates and can make changes), your student’s name, and the main goal for the meeting in the designated fields, provide any additional details in Add any special requests (especially if you chose "other" as a main goal), then click “Book”.
Note: If you provide a mobile phone number you have the option to get reminder via text of upcoming meetings. |

Step 5: The booking confirmation screen displays. If you’d like to book another appointment, click “New Booking” to reschedule or "Cancel booking" to cancel.
Important Note: You should receive a confirmation of the booking to the email you provided within a few minutes. If you do not, double check that you are entering the correct email address. |
Step 6: Check your email for the booking confirmation. If you need to reschedule your conference, see the link at the bottom of your confirmation email.
Note: If you never received the confirmation email, check your junk/spam folders. It is also possible that there may have been a typo in your email in which case you should submit a request above to resolve. |

SMA Parent Teacher Conferences Sign Ups: FAQs for Parents
Q: Can I schedule appointments with more than one staff member?
A: Appointments are scheduled one at a time. You can schedule additional appointments by repeating steps 1-5 outlined above for each staff member with whom you wish to meet.
Q: Can I schedule a combination of online and in-person conferences?
A: In-person teacher and counselor conferences are offered on November 25th. Online conferences with teachers and counselors are offered on November 26th. You are welcome to schedule appointments on both days (but not with the same staff member on both days).
Q: Can I reserve a block of time to schedule conferences with several staff members?
A: Appointments are scheduled one at a time and are available on a first come, first served basis. We recommend that you prioritize one or two conferences that you’d like to book and then attempt to schedule them in proximity to each other.
Q: Is there a cut-off time for scheduling and schedule changes?
A: You can make new appointments through the Bookings link until 6pm the day before the conference day. For instance, for the Monday conference you would need to sign up or reschedule before 6pm on Sunday. Appointment cancellations and rescheduling are available through the link in your appointment confirmation email. Although you can cancel any time, you cannot reschedule after 6pm the day before you will not be able to choose a new time the same day.
Q: Can I cancel a conference?
A: Yes. In the email confirmation you received you should see a link to "Reschedule". Click that and you should be taken to a page where you can "Cancel booking".
Q: If I put in the wrong email address when I booked a specific time/day do I still get the slot?
A: Yes, but if you reserved a Teams meeting you won't receive the link to join the meeting. And any changes to the schedule you won't receive updates. So, if the person you were supposed to meet with cannot make the meeting for whatever reason you may show up and they are not available. Submit a request above for assistance in resolving this issue.
Q: Can more than one parent join a meeting from two different locations on Teams?
A: Yes. The parent that received the confirmation email with the Teams link can simply forward that information to the other parent to join at the same time. However, only the parent that signed up will receive the email/text reminders.
Q: Do you need a Microsoft Teams account to join an online meeting for the conferences?
