After years at St. Mary’s, you probably have a lot of files, photos, and videos you want to keep. When you are leaving SMA and want to keep your files you will need at least one of the following (recommended to have both):
- A personal computer (macOS or Windows).
- A personal account on Dropbox, Google Drive, or Box.
iPad Only Instructions
If you don't have a personal computer, it can be a little more challenging and tedious to back up your files but it can be done. Here are the basic steps:
- If you haven't already downloaded a cloud storage App that is not OneDrive like Dropbox, Google Drive (not school account), Box, etc. do so and log in to it.
- Select the files within each App then tap the share button.
- Share them with whatever cloud storage App you downloaded.
- Repeat steps 2-3 as needed within each App.
These instructions differ a bit depending on the App and may not be possible on some as it is not supported. We recommend 'Googling’ for information about a particular application if it is not apparent how to back up your files. Applications will often have a ‘help’ button as well that may give you the answer.
Personal Computer Instructions
Apple App Files:
- Go to https://www.icloud.com/ from your personal computer.
- Log in with your @smapdx.org email and password. Note: If you are using a personal Apple ID for iCloud login with that account.
- Choose a section and select the files you want to keep.
- Click the download icon at the top.
- Put the files somewhere you will be able to find them later.
- Repeat steps 3-5 for each section (Pages, Notes, Photos, etc.) that has files you want to keep.
Microsoft App Files:
- Go to https://login.microsoftonline.com from your personal computer.
- Login with your @smapdx.org email and password.
- Click the OneDrive icon on the left side.
- Select the files you want to keep then click the download button.
- Put the files somewhere you will be able to find them later.
Notability:
- On your iPad Tap Notability.
- Tap (do not hold down) the notes you want to share/save.
To select an entire subject of notes at once, tap the subject's name to highlight it. - Then tap the share button at the top.
- Choose a destination (such as Dropbox, Google Drive (not school account), or Print) and file format.
- Tap Send.
- Then on your computer log into the destination you chose and verify your files are there.
- Note: Notability was initially set up for all students to back up to OneDrive so the files may already be there in a folder called "Notability". If they are there you can simply copy/download them to a new location to re-import into Notability on your personal iPad or Mac.
Adobe Cloud Storage:
- Login to https://creativecloud.adobe.com using your @smapdx.org account.
- Click on Files.
- Selecting one file at a time, click on download.
- Repeat step 3 with each file you want to save. Unfortunately, there is currently no way to select all files at once to download with the Education version we utilize.
Email:
If you haven’t already, download the Outlook Desktop application to your personal computer which can be found when you first log in to https://login.microsoftonline.com and choose Install Office on the right side and choose “Office 365 apps”. Then follow the instructions to install.
Outlook on Windows:
- Open the Outlook Desktop App and go to File > Open & Export > Import/Export > Export to a file > Outlook Data File (.pst).
- You can click on an individual folder (Inbox, Contacts, Calendar, etc.) or your email at the top of the list to export everything. Then click Next.
- Choose the path and name for your file and click Finish.
Note: You can only export your email, contacts, etc. using the Outlook Desktop application. If you want to use the iPad App or Outlook Web App you will have to send the information individually to a personal email address.
Outlook (newest version) on macOS:
- Create a folder on the desktop of your Mac.
- Open the Outlook Desktop App.
- Highlight all the emails you want to save (command+A selects all emails in the folder).
- Drag what you have highlighted to the folder you created on the desktop. BE SURE to drag it into the folder because if it is dropped on your desktop it will be chaos!!! :)
- Repeat the steps above if you have different folders.
Outlook on macOS (2016 or 2019):
- If you are using an older version of Outlook and/or see the option to turn off the "New Outlook" at the top right go ahead and turn it off and then follow these instructions: Export items to an archive file in Outlook for Mac - Office Support (microsoft.com)
Other Applications:
Most productivity applications have an export feature or the ability to log in via a website to allow you to save files elsewhere similar to the methods noted above. If you are not sure how to save your files we recommend ‘Googling’ for information about a particular application. Applications will often have a ‘help’ button as well that may give you the answer.
